This is not a remote position.

Summary:  

This role supports the Director of Finance and Administration in the day-to-day financial and administrative operations of the organization, with responsibility for payroll processing, benefits administration, and employee onboarding and compliance. The position maintains accurate financial records across accounting and CRM systems, processes donations and disbursements, manages accounts payable and employee credit cards, and ensures timely reconciliation of bank statements. The role also supports budgeting, financial reporting, audit preparation (including annual and Uniform Guidance audits), and grant-related reporting, while contributing to efficient financial operations and strong internal controls across the organization.

Job Responsibilities: 

  • Process biweekly payroll and remit federal, state, and local payroll tax filings through Paychex, ensuring compliance with all applicable labor and tax regulations.
  • Assist the Director of Finance and Administration with all aspects of the onboarding program, including new hire training, employment documentation and compliance, and entry into the human resources information system
  • Maintain employee HR files in an organized filing system
  • Maintain and reconcile financial and donor records across accounting and CRM systems, including QuickBooks Online and Virtuous, ensuring data integrity and alignment between systems.
  • Record and classify all financial transactions in accordance with GAAP, internal accounting policies, and grant or donor restrictions.
  • Process invoices, track payments, and manage accounts payable.
  • Monitor, record, and reconcile incoming contributions, ensuring proper revenue recognition and preparation of compliant donor acknowledgment letters.
  • Prepare and review monthly bank and balance sheet account reconciliations, investigating and resolving discrepancies in a timely manner.
  • Assist in the development and monitoring of organizational budgets.
  • Aid Director of Finance and Administration in oversight of federal programs and related financial reporting
  • Prepare supporting schedules and documentation for financial statements, grant reporting, and internal or external audits.
  • Assist with Annual Audit and UG Audit
  • Order office supplies and snacks for TER’s U.S. office
  • Perform other duties as assigned to support effective financial operations and internal controls

Job Requirements: 

  • 3 years experience working with non-profit finances; previous experience in nonprofits required 
  • Proven knowledge of GAAP accounting standards
  • Previous US Government funding experience preferred (i.e. familiar with a Single Audit process)
  • Financial software and CRM experience required
  • Bachelor's degree in finance, accounting, business administration, or related field.
  • Excellent time management skills with the ability to prioritize work and meet deadlines.
  • Ability to navigate ambiguity in a fast-paced environment
  • Excellent written and verbal communicator with strong interpersonal skills to interact positively with all levels of TER staff, including international teams, donors and grantmakers, and outside contractors

What Does Success Look Like?

  • 1st 90-Days: Completed accelerated learning plan that includes (1) familiarity with core organizational functions, (2) competency on all systems and processes, (3) beginning to provide critical insight for process improvements, and (4) building a rapport with departmental team leads.

  • 6-Month Mark: Clearly contributing value to the organization through accurate reporting, process improvement, internal controls, and compliance.

  • End of 1st Year: Assist on completion of the 2026 independent audit and 990 without significant issues. The organization is on course preparing for its first UG Single Audit (FY2026).
