Part-Time Administrative Assistant / Legal Assistant

Our boutique law firm, focused on estate planning, estate administration, and real estate matters, is seeking a part-time Administrative Assistant / Legal Assistant to join our team. This position is ideal for a highly organized, digitally savvy individual who enjoys client interaction and is interested in growing with a small, collaborative firm.

Position Overview
This is a part-time position of approximately fifteen (15) hours per week, initially split over three (3) days, with the potential for additional hours in the future. The position is fully in office, and all hours will be scheduled during regular business hours, Monday through Friday, between 9:00 a.m. and 5:00 p.m. The role combines responsibilities typically associated with both a legal assistant and a receptionist, with opportunities for expanded responsibilities over time.

Key Responsibilities

  • Managing attorney calendars and scheduling using an online, scheduling-based platform
  • Answering incoming calls through a web-based phone system and directing calls to the appropriate attorney or staff member
  • Greeting and seating clients upon arrival
  • Taking detailed and accurate client messages when calls cannot be transferred
  • Documenting calls, scheduling activity, and internal notes using one or more digital collaboration or task-management tools (such as Trello and/or Microsoft Teams), as appropriate
  • Maintaining professional and courteous communication with clients and other staff members at all times
  • As experience and familiarity with firm matters increase, making certain outbound calls to clients for limited, matter-specific purposes under attorney and/or paralegal direction

Desired Qualifications

  • Strong organizational skills and attention to detail
  • Comfort working in a technology-driven office environment
  • Experience with one or more of the following:

-Web-based phone systems
-Online scheduling platforms (such as Acuity Scheduling)
-Trello and/or Microsoft Teams

  • Ability to manage multiple tasks while maintaining accuracy and professionalism
  • Prior law firm or professional office experience is preferred but not required
  • Connecticut Notary Public commission is a plus

Ideal Candidate
The ideal candidate is reliable, proactive, and comfortable communicating with clients by phone and email. This role is well-suited for someone who enjoys administrative work, is confident using digital tools, and is interested in developing additional skills in a legal setting over time.
